Board of Trustees Action Items Wednesday, January 22, 2025 Planning & Zoning Commission Members Appointed During Wednesday nightʼs meeting, the Board of Trustees confirmed the appointment of Jim Sutton, David Whelan, Pat Young, and Scott Franks to the Planning & Zoning Commission. The Planning & Zoning Commission is a seven-member advisory board to the Board of Trustees. It provides recommendations on land use and related development applications and also serves as the Board of Adjustments. Agreement for Option to Purchase Property Approved The Board of Trustees approved Resolution 25-16 during Wednesday nightʼs meeting, authorizing the execution of an option agreement and the necessary steps to complete the purchase of property located at 12623 Canoe Street in Firestone. Upon delivery of an Option Exercise Notice, the Town will have 30 days (an Option Inspection Period) to conduct its due diligence, including inspections, examination of any leases (if any), and review of any other documents detailing the condition of the real property. Subsequent to the Option Inspection Period, should the Town decide to proceed with the purchase, it will prepare an actual purchase contract within 30 days, with closing anticipated to be on or before April 1, 2025. Community Survey Update In December, the Board approved an agreement with Policy Confluence, Inc. (Polco) to conduct a National Community Survey in Firestone. Since then, Town Staff and the Board have further discussed the timeline, custom questions, and the complete process. During Wednesday nightʼs meeting, Town Staff gave an update to the Board on the status of the drafted custom questions and an overview of the timeline: March 3: Survey invitation postcards will be mailed to randomly selected households, with the option to complete the survey online. March 10: Paper survey packets will be mailed to the randomly selected households, with the option to complete the survey online or via the paper packet. March 31: The Open Participation Survey begins for anyone who was not selected in the random selection. This allows anyone to participate and share their opinions. April 14: Survey collection ends The Town last conducted a National Community Survey in 2023, and the best practice is to conduct one bi-annually. The survey results are a powerful tool for helping guide the Firestone Board of Trustees policy direction and prioritize projects within the Town.
